How to book and charge on a customer's behalf from the front desk
Create a booking or enrol someone in a class without them using the app, and charge it now or leave it pending.
For: owner, manager, front desk
What it's for
Some customers call by phone, show up in person, or simply prefer you to handle it. The front desk lets you create a court booking or enrol someone in a class on their behalf, without that person ever opening the app.
How to do it
- From the panel, go to your venue's front desk section.
- Pick the slot (court and time) or a class with an open spot.
- Look up the person by their profile (if they already have one at your venue) or create a new profile with their basic details.
- Decide whether to charge now (a saved card, or cash recorded as collected on the spot) or leave it pending.
- Confirm and the booking is created — visible in your schedule like any other.
Editing or cancelling a booking made this way
It shows up in your "front desk bookings" list, with its status (charged, pending, cancelled). You can reschedule it, change the slot, or cancel it from there. If the booking has already been charged and the change affects the amount, the system warns you before saving — a charged booking is never rescheduled without you knowing what happens to that charge.
What the customer sees
If you entered their email or phone when creating the profile, they get the same confirmation as if they'd booked it themselves. If you don't have that data, the booking still exists on your schedule but nobody outside the venue sees it — add it if you want a reminder or confirmation to go out.
Common questions
- Can I charge cash from here? Yes, it's recorded as charged outside Stripe; it doesn't create an online charge but it's still logged in your panel.
- Who can use the front desk? Roles with day-to-day operational access (front desk, manager, owner); a read-only role can't create bookings.
- Does it count in the venue's stats the same as an app booking? Yes, it's the same booking under the hood; only who created it differs.
